Gallery Policy

It is the policy of the Hopkinton Town Library to provide all members of its community free access to materials which will help fulfill their educational, intellectual, cultural and recreational needs. One important method of doing so is to provide space for art, hobby, and craft exhibits. Organizations and individuals wishing to utilize the library for an exhibit must consult with the library director and the gallery/exhibit committee who will determine the relevance of, the conditions for, and the availability of suitable space for the exhibit. The following requirements also apply:

  • Library initiated exhibits will be given priority.

  • Gallery exhibits will be scheduled for a minimum of 1-2 months, other exhibits will be scheduled at the discretion of the committee.

  • Each exhibitor is responsible for hanging his/her own art work and for providing all the necessary materials for organizing an exhibit. Explanatory literature about the artist and the work displayed is suggested and should be displayed with the art work.

  • All artwork displayed shall be reviewed by the gallery/exhibit committee prior to display and should be framed or in display condition appropriate for public viewing.

  • The Hopkinton Town Library carries insurance for up to $25,000 to cover the loss of items included in an exhibit. Motor vehicles are specifically excluded from this coverage. If the value of the exhibit exceeds this amount, exhibitors should consider the possibility of providing private insurance if security is a concern.. Exhibitors must sign a waiver of liability holding the library, its employees and trustees, and the town, harmless for any damage to loaned material.

  • Publicity is the responsibility of the exhibitor except when the exhibit is co-sponsored by the library.

  • Exhibitors may not schedule special opening or other events without the permission of the library director. All arrangements must be approved by the library director at least two weeks prior to the planned event. The even must be open to the general public.

  • Each item should have an appropriate label but no prices may be posted on the items, nor may an admission fee be charged. A price list may be discreetly placed in the exhibit. Transactions for the purchase of an exhibit item shall be directly between the purchaser and the exhibitor. No exhibit material which is sold during its display in the library may be removed before the end of the exhibition period.

  • An individual or group will be allowed to display once in any twelve month period. Exceptions to this rule will be made at the discretion of the gallery/exhibit committee.

  • Granting permission to use library facilities does not constitute an endorsement by the library staff or the library trustees.

  • Failure to abide by these requirements could result in denial of further requests to utilize library exhibit spaces.
